TennisScores.Net is a tennis competition management tool for managing weekly competitions. After setting up one or more competitions, the manager or delegated officials need only enter match results each week and replace players in teams of the day where necessary. The resultant benefits to the managers and players are very comprehensive including:

The huge savings in time together with efficient communication tools such as built-in email and SMS amongst others allows managers to provide their players with best-ever services to their players.

TennisScores.Net requires access to the Internet and is best viewed using Internet Explorer v6.0 or later.

Setting up - Where do I start?

The very first time Setting up | Top

In short order, the following will take about 1 - 2 hours depending on the number of competitions you will run. These first three items are required to be set up only once.

1. Clubs: If clubs are involved, add member Clubs and their details in the Clubs page.

2. Playing Formats: (number of players in the team, rubbers, sets, player combinations, points won per set if any etc etc. Think of a Playing format as a copy of your score sheet. If all your competitions have the same format, then you only need create one and select it later on when creating your competitions. Otherwise create a Playing Format for each competition that has it's own format. (You never have to re-create them again).

3. Players: Players are stored in a database and from there, can be searched for/selected in teams etc Because most associations etc have a few hundred players (thousands in some cases) TennisScores.Net recommends that you contact them to obtain a spreadsheet for the purposes of electronically compiling your player list offline to save time. We can then upload your list in one go. Additional individual players can be added at your convenience by you in the Players page.

The following items need to be created from scratch but further competitions may be created based on these.

4. Seasons page: A season is a group of competitions. It has a name (eg 2007-2008 Juniors, Spring 2007 etc). There are three types: 1 - for Home & Away competitions where available courts are an issue, 2 - like Type 1 but competitions are played at a central facility/complex, 3 - where some competitions may be played at different times during the week.

5. Competitions page: They each have a name and are based on one of the Playing Formats you have already created. They have start dates/end dates/non-plying dates and finals dates. The finals will be played based upon Finals Formats available for selection from within TenniScores.Net.

6. Teams page: Teams may be submitted by Clubs or where Clubs are not involved, by the general public. You add teams in the Teams page and TennisScores.Net automatically adds a BYE if there are an odd number of teams. DO NOT ATTEMPT TO ADD A CLUB OR TEAM TO REPRESENT A BYE!

7. Draws: Clicking on any team listed under a Competition in the Teams page will display the Draws button. Clicking this allows you to adjust team numbering where required. Draws are based upon standard Home & Away draw patterns although you can have your own custom draws uploaded by us in a flash if required.

8. Lock your competition: Return to the Competitions page to Lock your competition. From now on, all weekly action takes place in the Home page (Click Home on the menu).

The next season of competitions Setting up | Top

You can create a new season of competitions based upon a current or previous season if they are similar. After entering a new name, all the competitions, teams and players are copied across to your new season all of which you may add/edit or delete as required. You'll still have to create draws and lock each competition but this process can save you an enormous amount of time.

Clubs

Clubs and TennisScores.Net Clubs | Top

Associations consist of member Clubs who enter Teams in competitions run by the Association. Association membership is made up of Club players.

How do I add Clubs to TennisScores.Net? Clubs | Top

In the Clubs page, click Add New Club and enter the data of the new Club. The fields/boxes outlined in blue require data.

How do I edit a Club's details? Clubs | Top

Go to the Clubs page and click on the required Club listed on the LHS. It's details are now displayed. Edit details as required then click Save.

What if a Club is no longer part of my Competitions? Clubs | Top

Just leave it. Any previous results where the club was involved will still require the club to be available. For security, it would pay to change the password so the last contact person can login.

Can a Club Contact person login to TennisScores.Net and if so, what can they do? Clubs | Top

Yes. A Club contact person may be "Allowed to Maintain Teams/Players in the Club" if this is checked (ticked). Further, in the Competitions page, Club contact persons can be delegated with the responsibility of entering weekly results for specific competitions as decided by the Administrator. This is an efficient way of speedy results-entry and is used extensively. Hence, a unique email address and password is required to login.


Match (Playing) Formats

What is a Match Format? Match & Finals Formats | Top

A match format is a template that list all sets and/or rubbers played by teams in a particular competition. It includes player match ups eg 1 vs 3 etc, how many games make up individual sets, whether tiebreakers are involved and how many points are won when a set is won. Think of it as an electronic version of your scoresheet.

Where do I create new or view existing Match Formats? Match & Finals Formats | Top

Click Match and Finals Formats in the menubar.

Do I need to create a new Match Format for every competition? Match & Finals Formats | Top

No. You only need create different Match Formats which can be selected in all your current and future competitions.

Can I remove/delete Match Formats that are no longer needed? Match & Finals Formats | Top

TennisScores.Net does NOT allow the removal of a Match Format UNLESS it is no longer used by any current or completed competition to display results. If a Match Format is displayed and can be deleted, a Remove button will be displayed. This button will only display if the above criteria has been met.

What is a Finals Format and where do I find them? Match & Finals Formats | Top

TennisScores.Net provides popular built-in formats for competitions at finals time. You'll find them by clicking the Finals Formats link on the LHS of the Playing & Finals Format page. Currently TennisScores.Net makes available formats where 2 and 4 teams are eligible for finals.

Can I design my own Finals Formats? Match & Finals Formats | Top

Not at this stage. If you require a Finals format that is currently not on offer, please contact us.

What if a team who makes the finals will not be participating? Match & Finals Formats | Top

The team can just forfeit. Where the committee decides, say in the case where a team qualifies as one of four teams for the finals and will not be playing, enter a substantial number of negative Adjustment points for that team in the last H & A match so they don't qualify (ie are outside the top 4) and then proceed. the team who came fifth will then be included. Alternatively, contact TennisScores.Net for us to manually adjust the team matchups.

What is a Plate Final? Match & Finals Formats | Top

A Plate final is a secondary final. For example, if the first four teams are eligible for a final and the Plate Final is selected in the Competition page when setting up that competition, then teams five to eight will play off in their own secondary final which also follows the same finals format.


Players

How are Players added to TennisScores.Net and what details are required? Players | Top

When starting out, save significant time by providing player information electronically (preferably in a spreadsheet) and allow TennisScores.Net to upload it. This saves you having to key in all your players' information one player at a time.

Thereafter, navigate to the Players page. It is MOST important to prevent duplicating a player's details so it is strongly suggested you first search for the player to determine if they are already on the system. Click New Player button. Minimum data required is Firstname, Surname, email and correct gender selection.

Can a player's personal details be viewed by others? Players | Top

A player's personal details can be viewed by the Administrator, Scores Secretary, their own Club official (if applicable). Players can view teammates' contact details (email/phone numbers) if they log in with their supplied email address and PIN.

How do I edit incorrect player details? Players | Top

Go to the Players page, search for and select the required player to display the player's details. Edit details as required and click the Save button.

Can a Player's details be removed/deleted from TennisScores.Net? Players | Top

Not at this stage. Never re-enter a player's details by adding them again because his/her details were incorrect. Edit the incorrect details - see above.


Seasons

What is a Season? Seasons | Top

A season is a 'container' for your competitions. In the Seasons page, click the '+' beside Current or Previous to expand the list of seasons. Clicking a season displays its details in the main window.

Adding a Season Seasons | Top

In the Seasons page, click Add New Season. From the drop down menu, select Create New Season based on either:

Completely New Season requires input of all details including competition details, teams and players.

If you have already run a season of competitions and your next season of competitions is basically the same (give-or-take same number of competitions, teams and players), you can create a new season based upon a previous or current season . This will copy across all your competitions with their teams and players already selected saving you a lot of time.

After creating the season:

I only want to run Competitions - why do I need a season? Seasons | Top

A season is a 'container' for your competitions. If you run seasons of competitions that are similar to previously run ones, you can create a new season of competitions by copying a previously run season. This process copies all the competitions, teams and selected players into the new season. Thereafter, you need only add/edit or delete competitions, teams and players, enter dates of play and away you go. This can save an incredible amount of time when setting up a new season after your first one.

What are the different types of seasons? Seasons | Top

Type 1 - Competitions are played on the same day, same time a Club courts. (Home & Away format). TennisScores.Net provides a Court Contention aid to view court availability and any shortfalls for the entire season.

Type 2 - Same as Type 1 except that matches are played at a central location son Court Contention is not required.

Type 3 - Competitions played at various times throughout the week. However, it is suggested that all seasons should now be Type 3.

Before a season commences, can I change the Start/End Dates? Seasons | Top

Yes. If you created a new season based upon an existing season, make sure the correct Day of Play has been selected and Saved before selecting Season Dates.

Competitions

What is a Competition? Competitions | Top

A competition consists of teams of players who, working to a fixture/draw based on Start and End Dates and a Playing Format (think Score sheet) describes what team members play in what combination and order and how a match is won.

What do I need to do before setting up my competitions? Competitions | Top

You need to have created a season (Season's page) either from scratch or by creating a new season based upon an existing one. For a brand new season, you'll then have to add your competitions providing details along the way. For new seasons created by copying a previous or current season, you add/edit/delete the copied competitions as needed. See Seasons for further information.

What information do I need for each competition? Competitions | Top

What does Locking a competition do and when do I do it? Competitions | Top

Locking a competition is the last thing you do after entering a competition's details then adding teams and generating a Draw (Teams page) before returning to the Competition page to Lock it. Locking a competition makes Draws, Results, Ladders etc available to the public to view in the Home page.

Can I change a competition's name after it has commenced? Competitions | Top

Yes. Select the required competition (Competitions page), Unlock, Edit/change the competition's name, Save, Lock. Currently, the Compact or Residual Draw, if applicable, does NOT reflect the name change.

What is an End Date? Competitions | Top

An End Date is the last date of NORMAL PLAY BEFORE finals matches, if applicable, are played.

Can I change a competition's End Date after the competition has started? Competitions | Top

No. Contact TennisScores.Net with details of your problem. A service fee may apply.

Can I change the Finals Format after the competition has commenced? Competitions | Top

Yes. Select the required competition (Competitions page), Unlock, Edit/change the competition's Finals Format, Save. Note: Make sure that there are a corresponding number of finals dates selected before Saving. Lock your competition. Currently, the Compact or Residual Draw, if applicable, does NOT reflect any changes to finals dates.

Can I add/swap or remove teams after the competition has commenced? Competitions | Top

Splitting a Competition mid-season Competitions | Top

Sometimes associations and centres run a competition for a number of weeks and then in the interest of even competition, split the competition into two separate competitions.  The new competitions generally are made up of top and bottom teams based upon the ladder of the original competition.  It may be required that teams continue in their new competitions with the points they have accrued from the original competition.

Example: You want to split a competition Div 2 Seniors into two new competitions: Div 2 Seniors 2010 and Div 3 Seniors 2010.

Go to the Competitions page
On the LHS click “Copy Existing Competition

Create first new competition Div 2 Seniors 2010 by:

Teams

What is a Team? Teams | Top

A Team is a collection of players. Associations generally accept teams consisting of players from a Club to play in competitions they manage. Private tennis centres often accept teams consisting of members of the public and generally clubs are not involved.

How do I add Teams to a Competition? Teams | Top

Once you've created your Competition (Competition page), go to the Teams page and click on the required Competition - any existing Teams are listed including Add New Team. Click this link to display two drop-down list boxes.

How do I select/move/remove players in a Team? Teams | Top

In the Teams page, click on the required Team. Rows of positions within the team are displayed including darker shaded rows at the bottom to record emergency/additional team players.

Selecting a player: Click the icon in the row/position where the player is to be selected (or changed if replacing that player). In the search window, enter the first two characters of the surname of required player to display a list of available players. Click on the required player if listed and then the icon to display player details. Select the tennis ball icon to select the player in the team, Cancel to abort.

Moving players within a team: Use the actuators to move players up and down positions within the team.

Remove a player from within a team: Click the next to the player to be removed.

Note:

There is no need to click Save after each action - all changes are automatically saved.

Draws

What is a (Competition) Draw? Draws | Top

The Draw is the schedule of dates of play between teams. It includes the Start/End/Non-playing and Finals date as well as what teams will be playing each other on those dates.

When/How do I create a Draw and change team numbering? Draws | Top

Enter all your team names in a competition (Teams page). When complete, click the Draw button to view an initial draw based upon the automatic numbers given to each team. Use the actuators to change team numbering and hence the match ups. Click Close button to Save.

What is Court Contention? Draws | Top

Available for Type 1 seasons, Court Contention allows you to view court availability/shortfalls at Club locations for the entire season. Where there are shortfalls, double-clicking allows the user to enter text advising of alternative playing locations for that match. This text appears at the bottom of Compact and Full Draws.

What do you mean by a 'standard' Home & Away Draw? Draws | Top

A 'standard' Home& Away draw is a cycle of match ups between teams and where after two cycles are complete, a team has played another team once at their home court and once at the other teams home court. Most of the time a team will alternate by playing at 'home' one week and 'away' the next week. Below is an example of a 6 team Compact Draw - 1st numbered teams are the 'Home' teams. When cycle repeats, the 2nd numbered team is the Home team.

Can I enter our own customs Draws? How? Draws | Top

Yes. Email us your draws and we'll upload them for you (fast) or create a competition and then modify the TennisScores.Net-provided built-in draw to match your requirements. Do this in the Home page - Fixtures, Customise.

What is a Compact Draw? Draws | Top

A Compact Draw displays only one complete cycle of team match ups with corresponding dates of play.

What is a Full Draw? Draws | Top

A Full competition draw lists all matches and dates of play for the entire season.

How can I enter Court and Playing Times into the Draw? Draws | Top

In the Home page, expand the Fixtures navigation bar on the left and click Edit. From here you can enter court and times for some or all matches. These are available to players if the print the Full Draw.

What is a Residual Draw? Draws | Top

A Residual Draw is typically generated after a competition has commenced (at least one round has been played and resulted)or a team has been added, removed or swapped with another team from another competition. It is just the draw for the remainder of the season.

I omitted a non-playing date/entered an incorrect End date - how can I rectify this and generate a new draw ( the competition has commenced)? Draws | Top

Contact TennisScores.Net. Currently, there is no facility to rectify this issue short of recreating the entire competition.


Processing Weekly Results

How do I enter or remove the latest round of match results? Processing Weekly Results | Top

Enter results
On the Home page, under the requirered competition, select Display Rounds, then check/click the box of the latest round then click Save. The round (and date of play) appears in the tree for the competition to the left - click it to display the results grid of all matches for that round of that competition.

On the Home page, select Display Rounds for the required competition, then check/click the box of the latest round - the tick will disappear and you will be warned that any entered results will be lost if you proceed to Save. When would you remove the latest round of results for a competition? Well occasionally a competition round is:

Undisplaying the latest round will allow you to fix any of the above issues before you re-display the round and continue.

At results time, I notice on the score sheets that there have been some player changes to the teams which are different from players displayed on the screen. Do I have to go and change the players in the Team page, then return? Processing Weekly Results | Top

No. After clicking Enter Results, the results grid for the match is headed by the teams and their players. Use the actuators to re-order team members or the edit icon to replace a player. Performing either of these functions does NOT change the team structure and next round a team will again be displayed based upon the structure set in the Teams page.

At results time, I notice that some players match ups in sets are different on their score sheets compared to what's displayed on the screen. Can I change that? Processing Weekly Results | Top

Yes, click Adjust Match ups button located just below the displayed players. This function allows you to swap and replace players in any set.

I made a mistake with the player match ups - can I change that? Processing Weekly Results | Top

Yes, next to the Adjust Match ups button is a Reset Match ups button which restores all set match ups to their original format.

Can I substitute a player who didn't start in the team lineup in one or more sets? Processing Weekly Results | Top

Yes, click Adjust Match ups and click the icon next to the player to be substituted/replaced.

Can I allocate Penalty or some form of Adjustment points to a team and record a reason? Processing Weekly Results | Top

Yes, at the bottom of each results page, enter negative points (eg -1) or positive points with reasons, On Save, the points and reason will be displayed in the results page and the points will be included in ladder calculations.

Can I fix any error in a round of results, either sets score, player or adjustment points? Processing Weekly Results | Top

The latest round can be edited by people with the authority (Club delegates, Administrator or Scores Secretary). For previous rounds, only the Administrator or Scores Secretary). After finals have commenced - no-one.

Can I record match or registration fees? Processing Weekly Results | Top

After entering match results, a Match Fees button is displayed if the competition has a match fee or registration has been set.

Can I get a list of Debtors or Creditors or Unregistered players? Processing Weekly Results | Top

Yes, in the Players page, select from the Debtors, Creditors or Unregistered players buttons.


Ladders

The Ladder displays in Compact form - can I view all ladder details? Ladders | Top

Yes, click the Compact checkbox - the tick disappears and within a few seconds, the full ladder appears.

For some competitions there is a checkbox to View Removed Teams - what does this relate to? Ladders | Top

During the competition, a team was removed or swapped out of this competition - along the way it had accrued points. You can see where this team would be in the ladder by clicking this checkbox - of little importance.

Can I print the ladder without the rest of the screen display? Ladders | Top

Yes, click the hyperlink - Show Printer Friendly View.

Can I view the ladder up to and including a specific round? Ladders | Top

Yes, from the drop down date list box, select the date of the round to view ladder up to, then click Show.


Player Statistics

How are the %Win/Loss calculated for Sets and Games? Player Statistics | Top

All sets won (excluding those won on Forfeit) divided by all sets played present in % format. These are further broken down by type of sets (eg singles, doubles etc)

Ditto for games

If a player loses sets and games by forfeiting, the sets and games are included in their losing percentages.

Are forfeited sets counted in %Win/Loss for Sets and Games? Player Statistics | Top

No - See above


Player Rankings

How are Player Rankings calculated? Player Rankings | Top

All players in a competition have their sets and games winning percentages (see Player Statistics) - these are then sorted (ranked) from highest to lowest.

Can I view rankings in different order? Player Rankings | Top

Yes, click on the title of the required column to view rankings calculated by that title (eg Total Games)

Can I go directly from Rankings to view an individual player's statistics? Player Rankings | Top

Yes, all player names listed are hyperlinked to their statistics

Is there a way to set a minimum number of rounds before a player is listed in Rankings? Player Rankings | Top

Yes. The Administrator or Scores Secretary should go to the Competitions page and for each competition, enter a minimum number of rounds before a player is listed in Rankings. Players who play a limited number of times less than this minimum number will NOT be listed in Rankings.


Eligibility

What is Eligibility? Eligibility | Top

The Eligibility page is a summary of player's participation in competitions that can be viewed at a glance.

What does R:02 P:06 S:00 or similar mean? Eligibility | Top

By default an entry for a player in a competition of R:02 P:06 means the player is recorded as having played in two rounds and six matches. When the Show Substitutions is checked, a further entry displays the number off occasions a player played as a substitute.

Can I view a player's statistics? Eligibility | Top

All names of all players listed are also hyperlinks to their statistics.


Emailing players

How can I email some or all players? Emailing Players | Top

Part 1 - Set up an email account - only needs to be done once.

Click Create Email Account in the Admin page ( Administrators) or Clubs page (Club officials). The following information is required:

Note: A message appears notifying you that the account has been created and returns a password which you should record.

The Send Email/Newsletter button is now available for you to send email including optional attachments.

Part 2 - Receiving replies to your emails

You need to add your new email account to the email program (client) you use on your computer - the following relates to Outlook and Outlook Express.

Email replies sent by you from within TennisScores.Net will come to your email program on your computer. You can reply to these directly without having to login to TennisScores.Net.

Tips about attachments Emailing Players | Top

Remember, creating an attachment in the latest version of MS Publisher or Word might look good but many of your players mightn't have the latest software to view it. Best to save your attachments in an earlier version of the software and thus maximising the number of recipients who can open it.
